Committee Guidelines

  1. Committees must pre-book all meetings in advance with Staff. First-come-first served basis. Regular monthly meetings at Chamber offices work best. The Events, Marketing and Committee (E.M. & C.) Coordinator will confirm your dates.
  2. Committee meetings must take place weekdays between 7:30 a.m. and 5:00 p.m.
  3. To ensure availability of Meeting Rooms and attendance of appropriate Chamber staff, committees must ensure that the webpage for Committee Activities / Meetings Schedule is always accurate and up-to-date. To update, please send the E.M. & C. Coordinator information on activities or any changes to meeting times.
  4. Chamber Events organized by a Committee must be approved by the President and must be booked on the schedule by the E.M. & C. Coordinator (first-come-first-served basis)
  5. Committee Events must have completed budgets that are approved by the President before ANY expenditure or commitments are made. Templates and support are available from the E.M. & C. Coordinator.
  6. Committee Events and Activities must be revenue generating, or revenue neutral.
  7. Committees should always consider any opportunities to retain partners, and must have all Partners approved by the Chamber. 
  8. Committees must set their own agendas, send out meeting notices (copy the E.M. & C. Coordinator, the President and any other appropriate staff), take their own minutes (assign a Minute-Taker) and distribute all minutes.
  9. Committees must request / prepare their own promotional opportunities and materials for the Chamber’s Business Advocate On-Line, Business Advocate Magazine, Flyers and tables at networking events (assign a Communications-Liaison person). Each Committee is responsible for their own profile and promotion – requests must be made from each committee on as-per-needed basis. The Chamber staff will do all it can to assist committees.
  10. All revenues gained by Committee Events or Activities become part of the Chamber’s overall revenue pool, as all expenses are part of the Chamber’s overall budget process. Only the President can approve any Committee budgets and expenditures. The President will also allocate any funds for Committee expenses.
